Terms & Conditions

1. Booking, Pricing, and Payments

1.1 Booking Confirmation: All travel packages are verified once the mandatory deposit is cleared. Following receipt, a formal digital validation will be sent to you. Clients must check all provided details for accuracy.

1.2 Rates and Adjustments: Costs are listed in Uganda Shillings (USh) or US Dollars (USD). Savanna Quest Uganda maintains the right to modify rates based on currency changes, fuel hikes, park entry fees, or tax updates. Prices are fixed once full payment is settled.

1.3 Required Deposits- General Safaris (minus permits): 30% of the total cost.- Primate Tracking Permits: 100% upfront payment upon reservation.

1.4 Final SettlementRemaining balances must be cleared 14 days before the trip starts. Last-minute bookings within this window require immediate full payment.

1.5 Forms of Payment: We accept wire transfers, credit cards (includes a 5% surcharge), or cash in USD/UGX. The client is responsible for all bank transfer fees.

2. Cancellations, Refunds, and Unused Services

2.1 Cancellation Requests: All withdrawal notifications must be sent via written email. Validity begins when Savanna Quest Uganda confirms receipt.

2.2 Scaling Cancellation Fees (Base Rate)- 60+ days out: 10% penalty.- 59–32 days out: 25% penalty.- 31–8 days out: 50% penalty.- 7–4 days out: 75% penalty.- Under 72 hours: 100% penalty.

2.3 Strictly Non-Refundable Costs: Fees for gorilla permits, chimpanzee permits, and golden monkey trekking fees are entirely non-refundable.

2.4 Abandoned Services: No credits or partial refunds are provided for missed activities, lodging, or transport due to late arrivals or choosing to end a tour early.

3. Execution of the Tour

3.1 Wildlife and Game: ViewingSightings of wild animals are not guaranteed as they roam freely in their natural habitat. Adherence to ranger and guide instructions is mandatory.

3.2 Primate Tracking Activities: Permit holders are granted trekking access but animal visibility depends on nature. Participants must be physically capable of navigating steep or muddy rainforest trails.

3.3 Lodging and Transit: Rooms are typically twin or double with private facilities. Savanna Quest Uganda may use comparable alternatives if the primary choice is unavailable. Vehicles are maintained for safety, but we are not liable for delays caused by tire punctures or tough road conditions.

3.4 Professional Guides:  Our English-speaking experts lead your journey. Their choice regarding safety protocols and routing is binding. Only our staff may operate company vehicles.

3.5 Route Adjustments and Partners: Savanna Quest Uganda can modify paths or swap services due to weather, security, or park closures. We may utilize trusted third-party partners to fulfill specific tour segments.

4. Client Conduct and Responsibilities

4.1 Health and Fitness Standards: You must ensure your physical readiness for trekking. Specific immunizations are mandatory for entering the country. Check with medical professionals for travel health updates.

4.2 Travel Documentation: You are accountable for holding a passport valid for six months post-travel and securing necessary entry visas. Savanna Quest Uganda is not responsible for losses due to missing documents.

4.3 Personal Conduct: Savanna Quest Uganda can remove any guest from a trip if their actions threaten safety, damage the ecosystem, or harass others. In such cases, no reimbursement will be issued.

5. Travel Insurance (Mandatory)

5.1 All participants must carry comprehensive travel insurance.

5.2 Policies must provide coverage for:

            - Urgent medical care and air evacuation.

            - Trip interruption or total cancellation.

            - Theft of gear or luggage.

            - Airline delays

.5.3 It is your duty to verify that all itinerary adventures are covered. Savanna Quest Uganda will not pay for costs resulting from insufficient personal insurance coverage.

6. Liability

6.1 Savanna Quest Uganda strives to deliver all scheduled services with professional care.

6.2 We act as agents for third-party providers like lodges and airlines. While we vet partners, we are not liable for their specific errors or service failures.

6.3 Savanna Quest Uganda disclaims liability for any personal injury, property loss, or damage during the tour unless mandated by local statutes.

6.4 We take no responsibility for the theft or accidental damage of high-value personal electronics or belongings.

6.5 We are not liable for setbacks caused by external forces like severe weather, political unrest, or global health crises.

7. Complaints

7.1 Any issues during the trip must be flagged immediately to your Savanna Quest Uganda guide to allow for on-site resolution.

7.2 If unresolved, submit a detailed written report to savannahquestuganda@gmail.com within 30 days of your return date.

7.3 Grievances shared after this 30-day window or not reported during the tour will not be considered for review.

8. Force Majeure

8.1 Savanna Quest Uganda is not responsible for service delays caused by uncontrollable events such as natural disasters, civil strikes, acts of war, or government-mandated border shutdowns.

8.2 During such events, we will attempt to reschedule or provide refunds according to the standard policy after subtracting non-recoverable costs paid to parks or hotels.

9. Photography and Marketing

9.1 Savanna Quest Uganda reserves the right to capture video and photos during expeditions for promotional use.

9.2 By joining our tours, you permit the use of your likeness in our digital and print media. If you prefer to opt out, please inform us in writing before the tour begins.

10. Governing Law and Contact

10.1 Legal Framework: These terms are regulated by the laws of the Republic of Uganda. Any legal disputes must be settled within the Ugandan court system.
